CLAYVILLE PTO GENERAL MEMBERSHIP MEETING, May 21, 2009

Present: , Principal Karen Cappelli, Juli Dexter, Lori DiMatteo, Randi Medici, Dina Buscher, Anne Fay, Tina Shippee, Jen Klimaj, faculty members Cyndy Gould and Suzanne Andrews, SKILLs coordinators and several parent members.

Meeting Distributions: agenda, treasurer's report, PTO Program/Event sheet and volunteer form.

The meeting was to called order by Lori DiMatteo at 8:02 p.m.

Board Updates

Co-President Lori DiMatteo welcomed and announced the 2009/2010 PTO Executive Board members.  They are as follows:  Juli Dexter and Tina Shippee, Co Presidents; Randi Medici, vice President; Anne Fay, Treasurer,;Jen Klimaj, Corresponding Sect.; Dina Buscher, Recording Sect.

General Membership Comments:

Faculty member Susanne Andrews is the Clayville School contact person for the new Scituate Conservation commission community Outreach Program that is to take place here at Clayville on June 20.  This is the first year for the program.  According to Paul Dolan of the Scituate Conservation Commission, the program will consist of planting a tree along the walkway, generally "spruce up" the grounds, mulch, prune, garden, and planting.  Children are invited.  Instruction will also be a part of this program.  Mr. Dolan has also informed Mrs. Andrews that an article on the outreach will be placed in THE FOSTER HOME JOURNAL.  The program will run from 9 to 11 a.m.  Mrs. Andrews will send a flyer home with more information and article will be placed in the June newsletter.  (At this time it was decided that the June newsletter would go out at the beginning of the month.)

Treasurer's Report: Annie Fay

Assemblies:  Annie noted that the PTO has paid for only one assembly thus far, though we have agreed to pay for four.  We have a $600 balance allocated for assemblies.  Mrs. Cappelli may be reimbursed for past assemblies up to the allocated amount using these funds.  SAFE funds will pay for the BMX assembly.  Radio Disney is coming on May 29 for a free assembly that they agreed to give us after our dissatisfaction with services at last year's Field Day.

Field Trips:  We also have more money allocated for field trips.  Only some field trips have been paid for by the PTO this year.  Mrs. Cappelli noted that historically, the money for trips not taken have been offered for in-class programs or a fund to use in the classroom.  Mrs. Gould noted that it is sometimes a matter of the monies needed for admission, etc. that goes quite beyond the amount needed for the bus.  Lori DiMatteo asked if we should put the extra money into a fund to help defray scholarship costs.  Mrs. Cappelli did not feel thee was a need to do so.

Allocation Request:  Mrs. Cappelli has a goal of providing a digital camera for each classroom to help celebrate the children's work and asked the PTO to allocate funds for support of such a purchase.  This topic was discussed and several ideas were shared:  Julie DiMeo suggested purchasing a digital photo frame for the school entrance.  Annie Fay noted that if we provide a camera and quality large capacity SIM card for every room, we need a line item in the budget to support printing costs; e.g., through Snapfish, so that the cost of developing does not fall ion the teachers.  Tina Shippee will call B&H Photo in NY to get a quote on cameras and cards in bulk.  Karen Cappelli agreed to pay the cost of the cards if the PTO will take care of the cost of the cameras.  The final decision was that the PTO would purchase one camera per class up to $1,000.  The decision was reached by a motion made by Annie Fay, seconded by Lori DiMatteo, and was carried by unanimous vote.

Other: Annie Fay noted that there was not much activity since the last report.  Monies were dispersed for deposits at various event sites.  This money will be reimbursed to the treasury after the events take place.  Julie DiMeo noted that a $600 to $700 RIF order was being placed in the next week or so.  We have approximately $1,000 to cover this upcoming expense.

A motion to accept the Treasurer's Report was made by Tina Shippee, seconded by Dina Buscher and carried by unanimous vote.

Safe Grant/PTO Representative: Lori DiMatteo sat in for Clayville's SAFE representative and attended the meeting this month, receiving a $900 grant on behalf of Clayville School.  SAFE's mission is to promote strategies/ideas a a healthy and safe environment through programs and grants.

Program and Event Updates

Teacher Appreciation.  Teachers loved the many expression of thanks offered by the Clayville PTO and community.  The PTO received several notes of thanks which were passed for others to see.

Young Authors.  this event was a tremendous success.  Chris Maiorisi headed up the organization of this event.  Mrs. Cappelli noted how well organized the event was and noted that the author who visited wants to come back!  Students wrote and shared stores in this celebration of writing.

Ladies Choice.  This event is scheduled for May 30, 2009, from 6:30 to 9:30 p.m. at Kelly-Gazzaro Post on Plainfield Street in Cranston.

Mother/Daughter Event.  Event is to be held on June 6, which is the same day at the Bus Safety trip for students.  So far, there are 20 responses and they should continue to come in.

Mother/Son Event.  This event was held at Town Hall lanes in Johnston back in the beginning of May.  Attendees noted what a wonderful event it was, and Lori noted that she also has gotten every positive feedback from the event.  IT was fun, organized, children were appropriately separated (youngest and oldest), and the favors event reflected attention to detail.  One of the organizers from this year's event, Tina Bessette, has noted to one of our board members that she would consider chairing it again next year.

Field Day.  Juli Dexter suggested providing class lists for order of t-shirts for students and a take home notice for order of adult shirts at a cost of $5.  Mrs. Cappeli approved this idea.  The PTO will also pay for the ice cream truck to come as they did at the Family Carnival last year.  Annie Fay will track down the name of the man who provided the service lst year by looking through the treasury draft records.

SKILLs.  Our team next year will be Liz Catanzaro, April Forte, Ramona McCann and Holly Viner.  Thank you!

Event Binders.  Vice President Randi Medici noted the following regarding event binders:  Binders should be updated after every event and returned to the PTO for future reference/use.  A note regarding food for children with allergies (ultimately it is the parents' responsibility to monitor their child's food intake at campus functions) has been added to the guidelines in the binder.  Laminated copies of the note on food intake for children with allergies will be made and placed in the PTO Place for all to use on tables where food is present at on-campus functions.

Volunteer Opportunity/New Board Position:  A PTO Liaison position was presented by Julie Dexter.  This is an appointed position which is less of a commitment than the elected board positions.  the following is a brief description of duties:  Use creative ideas to increase meeting attendance; schedule guest speakers for meetings; organize programs like babysitting during meetings if so decided; help with miscellaneous PTO tasks like correspondence distribution.  Anyone with questions or interest can contact Juli Dexter (821-0938).

Feedback/Ideas Regarding Events

Lori Dimatteo asked for feedback and ideas on events, timing, costs, locations, etc. 

Comments regarding timing:  "Events too close together." "Clustered together near the end of the year."  "Too many papers coming home at once."  "Too many fundraisers together."

Randi Medici asked Mrs. Cappelli if it were possible to get a copy of a school-wide calendar for Clayville.  Mrs Cappelli does have a calendar for faculty so we can put calendars together.  Jen Klimaj will work on the calendar with Mrs. Cappelli.

Comments regarding number of events:  Mrs. Cappelli commented that there may be too many events in general.  She suggested perhaps one per gender or have a "Clayville Night Out with Family."

Other Comments:  "Can we have more events here on campus?"  "Too many events close together make it difficult financially."  "Perhaps we could scale back the (number of) events if it will make the cost more manageable for families and the PTO."

Lori also sought ideas for future PTO meeting.  It was suggested that we have some during the day and switch off between events and days.  Feedback was that the raffle basket was a good idea.  (Congratulations to Ramona McCann for winning the raffle basket of gardening items this month.)
